Job Descriptions

Captain - Role and Responsibilities

  1. The Captain will be elected at the AGM and commence from the following January 1st for one calendar year.
  2. Embrace the figurehead Role and promote all aspects of the China Golfing Society to both existing, prospective and new members.
  3. Coordinate with the Vice Captain to facilitate one or preferably both to attend all ‘Tours’ and as many ‘Meetings’ and ‘Matches’ as possible throughout the year.
  4. Meet and socialise with as many China Golfing Society members as possible maintaining harmonious relations.
  5. Accept suggestions, ideas, comments or concerns from members and where appropriate liaise with the Committee in connection with matters arising.
  6. Chair periodic China Golfing Society Committee meetings and promote and support initiatives going forward.
  7. Liaise with the Secretary, Treasurer, Match Managers and other committee members in connection with the management of the China Golfing Society.  
  8. Chair the Annual General Meeting.
  9. Carry out prize giving presentations and acknowledgment speeches as appropriate.
  10. Offer assistance and guidance to the Vice Captain.

 

Vice Captain - Role and Responsibilities

  1. The Vice Captain will be elected at the AGM and will commence from the following January 1st for one calendar year. 
  2. Provide support for the Captain in all matters relating to the China Golfing Society.
  3. Coordinate with the Captain to facilitate one or preferably both to attend all ‘Tours’ and as many ‘Meetings’ and ‘Matches’ as possible throughout the year.
  4. Where the Captain is unable to attend a fixture the VC to stand in, wherever possible, and perform the Captains duties as appropriate.
  5. To recommend a Vice Captain for the following year, after consultation with the Captain, recent past Captains and President.
  6. Join the China Golfing Society Committee and promote and support initiatives going forward. Committee membership will be for a term of three years from appointment as Vice Captain.
  7. Meet and socialise with as many China Golfing Society members as possible maintaining harmonious relationships and share, as appropriate, any members' suggestions, ideas, comments or concerns with the Captain.

 

Honorary Treasurer - Job Description

  1. Responsible for all Society finances by ensuring adequate accounts and records exist.
  2. Plan the annual budget in agreement with the Society Management Committee, and to monitor throughout the year.
  3. Ensure all funds are used appropriately.
  4. Ensure prompt banking of funds.
  5. Maintain up to date records of all transactions, and records of income and expenditure.
  6. Keep track of the Society’s stock of clothing and prizes, and balance the value with the Keeper of the stock ahead of the AGM.
  7. Prepare year-end accounts (Profit and Loss Account and Balance Sheet) with accompanying notes and present to the Society’s Management Committee and AGM.

 

Honorary Auditor – Job Description

  1. Obtain a copy of the CGS Balance Sheet and Profit and Loss Accounts from the CGS and review for possible errors or discrepancies.
  2. Obtain from the CGS Treasurer a copy of the bank statement and confirm that the balance matches the Treasurer’s records as at the financial year end date and that a bank reconciliation has been carried out.
  3. Obtain a list of transactions over the financial year and carry out a spot check of the paperwork of a selection of those transactions (suggested maximum of 5 transactions).
  4. Obtain a list of all stock of kit/clothing and prizes held by CGS (as at Balance Sheet date) and verify via email with Member(s) in charge of the physical assets inventory that the physical assets held match the Treasurer’s records (suggested maximum of 5 assets categories to be verified).

 

 

Membership Secretary – Job Description

  1. Website
    1. Enter current year’s results as and when they occur.
    2. Enter next year’s fixture dates.
    3. Update shop tab when necessary.
    4. Arrange for any photos to be uploaded.
  2. AGM and Management Committee Meetings
    1. Prepare AGM Agenda in conjunction with CGS Captain
    2. Take Minutes of the AGM and Management Committee Meetings
  3. Year Book
    1. Email AGM minutes, membership postal addresses, lists of new members/deaths to the Year Book editor
    2. Arrange for the Year Book to be added to the website.
  4. New Members
    1. Enter application details on the website.
    2. Email new member fee details.
    3. Send tie and/or Year Book on when fee received.
  5. Support the Captain, Vice Captain and Match Managers in communication with the membership.
  6. Support CGS members with website queries and general information requests.
