What information do we collect about you?

We collect personal data about you when your application to be a member of the China Golfing Society (CGS)is accepted. We may also collect personal data when you voluntarily complete surveys, update your personal data or provide feedback to CGS. The personal data which will be primarily provided by members of CGS and will only be used as required is:

  • Name
  • Postal and email address
  • Phone numbers
  • Membership of home golf club

and by becoming a member of CGS you agree that the personal data listed may appear on the CGS website (www.chinagolfingsociety.com). CGS may collect additional personal data in respect of tours, matches and meetings in which members participate.

The CGS website contains all the latest news, results and other Club information, can be viewed by anyone without telling us who they are but requires a member’s login to access member’s personal data. CGS may monitor website usage, which is collected using cookies to help develop the website and its services.

How will we use the personal data?

We collect your personal data to contact you about the activities of CGS and any other purpose e.g. to email you about other CGS activities we think may be of interest to you. We may use your information collected from the website to personalise your repeat visits to our website. We will not pass on your personal information for marketing purposes to anyone outside of the CGS.

Legal basis for use of your personal data and third-party sharing

The personal data collected is relevant and not excessive to CGS’ activities. We are allowed to use your personal data only if we have proper reason to do so such as:

  • to manage and administer your membership of CGS and/or your involvement across all CGS activities and to keep in contact with you for these purposes;
  • to maintain records of CGS’ performances and history, including match, meeting or tour reports, scores, team sheets, photos etc
  • to contact you in relation to the activities of CGS;
  • when it is our legitimate interest;
  • when you consent to us using your personal data;
  • to comply with the law: to prevent crime, investigate or report fraud, terrorism, misrepresentation or security incidents

Who we share your information with

We will not share your personal data with any third parties for marketing purposes without your express written permission to do so but may share some personal data with match managers for a particular event and with golf clubs where CGS is playing and you are participating any others relating to meetings or tours such as hotels etc as some additional wording would be required.

It is assumed that all CGS members will want to receive the Annual Report and Fixture List each year and any other communication that CGS produces so no opt out is required. All members consent to their personal data appearing in the Annual Report and Fixture List as required.

Your rights to data protection

Right of access - to access, correct, update or request deletion of your personal data;

Right to object or restrict use – to object to processing of your personal data, ask us to restrict processing of your personal data if you feel it is not for legitimate purposes;

Right to be removed or forgotten – to erase personal data about you on certain grounds. for example, where you may have entered an event and that event is over, you may request we delete all information on you;

Right to have copy of personal data - to request a copy of the information that we hold about you. We will not charge you for this service you can exercise any of these rights at any time by contacting us using the contact details provided under the “how to contact us” heading below or email us at info@chinagolfingsociety.com. CGS responds to all requests we receive from individuals wishing to exercise their data protection rights in accordance with applicable data protection law access to your information. When a member resigns or passes away CGS will delete the relevant personal data within a reasonable period of time

Security of your personal data

At China Golfing Society we use appropriate technical and organisational measures to protect the personal data that we collect and process about you. The measures we use are designed to provide a level of security appropriate to the risk of processing your personal data. We have implemented information security policies, rules and technical measures to protect the personal information that we have under our control from:

  • unauthorised access;
  • improper use or disclosure;
  • unauthorised modification; and;
  • unlawful destruction or accidental loss.

All electronic data will be kept on computers with log in passwords and individual files will be password protected. Only CGS Committee members who need access to personal data will have the passwords and will only access personal data in connection with Club activities. From time to time CGS will need to transfer personal data via email or other electronic means and such information will be limited to the specific data required for the purpose of the communication. When paper copies are made containing personal data they will, where practical, be kept secure by the person who has the information and copies destroyed when the purpose for which they had been made has been completed.

All our Committee members and data processors (i.e. those who process your personal information on our behalf, for the purposes listed above), who have access to, and are associated with the processing of personal data, are obliged to respect the confidentiality of the personal data of all members displayed on the website and those that contact us by telephone, mobile, email or personally.

Timescales and obligations for holding your personal data

We retain personal data we collect from you where we have an ongoing legitimate business need to do so as a member of CGS.

Deletion and destruction of your personal data

When we have no ongoing legitimate business need to process your personal data, we will either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal data and isolate it from any further processing until deletion is possible.
